7 Questions a Destination Wedding Travel Agent Will Ask During Your First Consultation

If you’re here, you’re probably the kind of couple that wants to have everything figured out before getting started. I know, because I was you.

I was the bride who created a spreadsheet with every resort, every amenity that mattered to me, and read every review for each one. It took me weeks just to narrow down a list of questions to ask my destination wedding travel agent, and days preparing answers for the questions they might ask.

Minutes into my first consultation, I realized I didn’t need an Excel sheet and I definitely didn’t need a list of answers prepared ahead of time. That’s because the questions a good destination wedding travel agent asks are usually things you already know instinctively.

If you’re just starting the planning process, I recommend working with a destination wedding travel agent first before going too far down the research rabbit hole on your own.

During your consultation, your travel agent will ask a few key questions to help guide the process. Those questions aren’t meant to test how prepared you are. They simply help your destination wedding travel agent understand your vision, your guests, and what resorts could be the best fit for your wedding. And while some of us may be the type who likes to be overprepared, most of the answers are things you already know instinctively, even if you haven’t thought about them yet.

1. How Many Guests Do You Expect to Travel?

One of the first things a destination wedding travel agent will ask is how many guests you expect to travel.

Guest count matters. It impacts almost every aspect of your destination wedding, from choosing the right resort to determining how many rooms need to be included in your destination wedding group room block.

It also plays a big role financially. Many resorts offer perks and concessions based on how many rooms are booked within your group, so having a realistic idea of how many guests may travel helps your destination wedding travel agent guide you toward the best options.

This doesn’t need to be an exact number. The truth is, there’s no way to perfectly predict your guest count. You might invite 100 people and have 90 attend… or you might invite 100 and have 20. Having a rough estimate simply helps us plan accordingly from the very beginning.

At ODW, we actually use a simple star system when couples begin creating their guest list. It helps estimate attendance by identifying which guests are very likely to travel, which ones might attend, and which ones are more of a long shot.

2. Do You Have a Destination in Mind?

Another question your destination wedding travel agent will likely ask early in the consultation is whether you already have a destination in mind. This is actually a really important question, and my favorite answer is usually the one that gives me the most work: “We’re really flexible.”

Some couples come into the call knowing exactly where they want to get married. Others are still deciding between destinations like Mexico, Jamaica, the Dominican Republic, or another island in the Caribbean.

If you already have a destination in mind, your travel agent can start narrowing down the resorts within that location that could be the best fit for your wedding and your group. If you’re still exploring, your travel agent can help guide you based on travel convenience for your guests, resort options, and the overall experience you’re envisioning.

The reason the “we’re flexible” answer is my favorite is because it allows me to focus on finding the resort that best fits everything you’re looking for, rather than trying to make a specific destination work if the right resort isn’t there.

3. What Time of Year Are You Hoping to Get Married?

February 27, 2027. August 8, 2028. August 28, 2028. Dates like these are often gone long before couples even start planning their destination wedding.

But if you’re not chasing a “pretty date” or an anniversary, the exact date usually isn’t the first thing we need to figure out. Having a general timeframe, like spring, summer, or fall, helps your destination wedding travel agent start narrowing down resort availability and guiding the next steps in the planning process.

Seasonality can impact everything from resort availability to weather patterns and travel costs for your guests.

If you’re still exploring timing, I’ve put together a full breakdown of the best time to get married in Mexico, Jamaica, and the Dominican Republic, including weather patterns, peak travel seasons, and factors couples should consider when choosing their wedding date.

4. What Budget Are You Comfortable Asking Your Guests to Spend?

I know this question sounds like it might require some homework ahead of time, but the truth is most couples don’t have a specific number in mind, and that’s completely okay.

We’re not asking this to put a price tag on your wedding, but to understand what will realistically work for your group.

What we’re really trying to understand is where you fall on the spectrum. Are you envisioning a luxury property and comfortable knowing that some guests may not attend in order to have the exact experience you’re looking for? Or are you hoping to choose a resort that every single person on your guest list can realistically afford? Most couples land somewhere in between.

Understanding where you fall helps your destination wedding travel agent recommend resorts that align with both your vision and your guests’ comfort level.

5. What Is Your Budget for the Wedding Itself?

4k, 12k, 20k, 250k… we’ve heard it all. Every budget is different, and many couples have no idea where to start, what’s realistic, or what might be too much. And yes, I said too much.

What we want to understand is what you’re envisioning and what you’re comfortable spending to bring that vision to life. From there, we can let you know whether your budget aligns with what you’re hoping to create.

Most destination wedding resorts offer wedding packages that include the ceremony and a few basic elements, but many couples choose to add things like private receptions, upgraded décor, additional events, or entertainment throughout the wedding weekend.

You don’t need to have an exact number in mind, but having a general idea of what you’re comfortable investing in the wedding itself helps your destination wedding travel agent recommend resorts and wedding packages that align with your vision.

Some couples are looking for a simple ceremony and dinner, while others are envisioning a full wedding weekend with multiple events for their guests. Understanding your priorities helps guide those recommendations from the very beginning.

6. Where Do You Picture Your Ceremony and Reception Taking Place?

No sand.

Those are the two words we hear most when we ask this question. It usually comes from couples who love the idea of a destination wedding, but quickly realize the bride doesn’t necessarily want to be a barefoot bride.

Some couples are dreaming of a beachfront ceremony, while others picture a rooftop terrace, a garden setting, an over-the-water chapel, or a more traditional venue space.

The same goes for the reception. Some couples envision an intimate dinner under the stars, while others want a full reception with a dedicated space, music, and a dance floor.

Knowing where you picture these moments happening helps your destination wedding travel agent recommend resorts that can actually deliver the experience you’re imagining, since every property offers different ceremony and reception venues.

For example, if a couple tells us they want a rooftop ceremony, an adults-only resort, and a lively atmosphere, that alone can narrow our list down to just a handful of properties. On the other hand, if a couple wants a quiet adults-only resort with a garden ceremony and an intimate reception, that leads us to a completely different set of properties.

7. What Kind of Resort Experience Are You Looking For?

Now we’re talking about the vibe.

Some couples are looking for a lively resort where guests can enjoy a social atmosphere, nightlife, and plenty of activities. Others prefer something more relaxed and intimate where the focus is on quiet luxury and time spent together with their closest friends and family.

Things like adults-only vs. family-friendly resorts, the size of the property, the level of service, and the overall atmosphere can all play a big role in how the wedding experience feels for both you and your guests.

Understanding the kind of environment you want helps your destination wedding travel agent recommend resorts that really fit the experience you’re hoping to create.

What Happens After Your First Consultation?

With these initial questions, and simply having the chance to get to know our couples over a relaxed video call, we’re able to eliminate hundreds of properties that aren’t a great fit and create a much more manageable list of resorts that are.

As a destination wedding travel agent, the first part of my job is getting to know my couples so I can identify properties that truly align with their vision, budget, and the overall experience they’re hoping to create.

And while you may have had to think a bit about some of these questions, most of the answers aren’t things you needed to prepare ahead of time. They’re things you likely already knew instinctively.

That first consultation isn’t about having everything figured out. It’s simply the starting point for turning your ideas into a destination wedding that actually works for you and your guests.

For most couples, that first conversation is where everything finally starts to come together.
